Procedures

A. Central Tenders:
  1. Transferring the transaction from the concerned director to the director of roads' studies.
  2. Transferring the transaction from the director of roads' studies to the head of quantities department and quantities’ calculators.
  3. Cross-sections and quantities ofclauses are audited duly. 
  4. Implementation plans (as built) and cross-sections are audited and compared with the executed quantities, then a detailed report is conducted. 
  5. After finishing, the transaction is transferred to the concerned directorate (directorate of implementing roads, directorate of maintaining roads) to complete the necessaryprocedures for paying the final demand 
  6. Saving the as built plans duly. 
  7. Transferring the demand to the directorate of financial affairs/concerned department for completing procedures.
  8. Auditing the demand by the financial controller and Internal Control Unit.
  9. Completing the procedures of payment and issuing the cheque and handing it over to the beneficial.  

B. Tenders that are referred by the tender committees in the governorates.
  1. The financial demand is audited technically and financially by the concerned directorate of works’ bodies and signed duly by the supervising engineer and director of works.    
  2. The financial demand is submitted to the concerned region administration supported by all the documents to audit, certify and approve the payment.       
  3. Transferring the financial demand to the administration of supporting operations / directorate of financial affairs to complete the procedures.
 

Required Documents

-A copy of the final plans (as built), original and copy, stating the typical cross-section ofthe road, profile and thehorizontalprojectionof the road (plan) signed by the contractor and consultant. A Copy of the cross section , original and copy, and an electronic copy stating the area of the cross-sectionsofcutoff, backfill,side slopes,earth's naturallevelsandlevels of the design, audited and signed by the contractor and consultant. Combined Survey readings of the natural land signed and certified by the constructor and counselor. Attaching  theferries andbridges, or any regular orreinforced concreteworkdetails stating the dimensions ,tables of individualizingreinforcing steel, measurement statements concerning roadsamounts and final billextracts audited and signed by the consultant and contractor. A CD containing the above mentioned information, a copy of the priced quantities and referral decision tables, and changing orders issued upon tender works if any.
